Policies

We are so honored that you’ve chosen Once Upon a Time Parties D.C. for your next party/event!

All parties and events are reserved on a “first come, first serve” basis. We recommend you book your event at least 4 to 6 weeks in advance to ensure your character and time slot. A client’s performer/character request is based on the availability of the performer/character and is not guaranteed.

Deposit and Payment:

Your initial payment (roughly 75% of your total package price) is due within 2 weeks of booking your event/receiving your invoice in order to reserve your time and character. Initial payment amount varies based on your package. Your balance will be sent to you in an invoice once we receive your signed agreement. If you book with us, yet fail to make your payment within the aforementioned 2 weeks, we will re-open your spot, thus making it available for booking for someone else. If you still wish to book us after this time, you will need to re-book according to availability. You can pay your initial payment by credit/debit card (Visa, MasterCard, American Express, and Discover).

The remaining balance/final payment for your party is due to the performer on the day OF the event. This amount will also vary based on package. For this payment, we ONLY accept cash or check made out in the performer’s name. We strongly recommend giving the final payment at the end of the event and putting it in the envelope provided by the performer at your event- please help us keep the magic alive for the children! The package price does not include gratuity for the Performer. If you feel your performer has done an outstanding job, gratuity is always welcome and appreciated!

Travel Fees:

If an event is further than 30 miles from our home location, there will be an additional fee of no more than $20* added to your total package price. Our current performers are located in the 20152 area code in Virginia. If a toll is required to reach your event, the price of the toll will be added to your total package price and included in your invoice.
*Mileage is calculated at $0.58 per mile*

Canceling and Rescheduling:

We understand that life happens, so if you have an emergency and need to change the date or time of your event after booking, we will try to accommodate you as best we can and will apply your initial payment to another date/time as a one-time courtesy. If you do need to change the date/time, please let us know as soon as possible so that we can try to accommodate your newly requested time into our party schedule. An event can only be rescheduled once. Any and all changes must occur at least 7 days prior to your event. Any changes after that time will result in a cancellation.

A client may make a cancellation up to 14 days prior to the event for a full refund. If a
cancellation is made after that time, a refund of 25% of your initial payment will be issued.

In the event of bad weather, serious illness, or other unforeseen emergencies, we reserve the right to cancel the event and offer an alternative date if available. If cancellation by Once Upon a Time Parties D.C. occurs, a full refund of your payment will be issued.

Safety:

It is our utmost responsibility to keep our performers and party guests safe. If there is ever a situation where the performer feels themselves or others around them are unsafe, they will address the issue with the party host. If the issue is not resolved, the performer will leave. Behavior such as violence or sexual harassment/advances are examples of actions that compromise the safety of the performer.

Smoking and Eating:

The costumes and property of Once Upon a Time Parties D.C. are very valuable and will not be subject to smoke of any kind which can cause damage to our wigs or costumes. If damage to our costumes/wigs occurs as a direct result of a party guest, Once Upon a Time Parties D.C. reserves the right to invoice the client for the damages.

 

LOCATION/EVENT SET-UP:

We will gladly participate in outdoor events, weather permitting. The characters will need a dry area free of mud and dirt. We will not be able to do an outdoor party or event if the temperature is above 90 degrees or below 50 degrees. Activities may be affected depending on the weather conditions. If rain occurs and the event has been scheduled outdoors, it is the responsibility of the client to arrange for an indoor event.
A chair or appropriate seating arrangement must be provided for each performer by the client in order to successfully complete the storytime portion of the party. All pets must be contained away from the party area.

PHOTO RELEASE:

We love to see our performers making your child’s dream come true! After your party, please send us your review on how our performer(s) did as well as any photos you took at the party/event. We would love to see them! Any photos you choose to send to us are signed as the release to be used by Once Upon a Time Parties D.C. for website, social media, and promotional use. You and your child’s personal information will never be shared.

We do not offer any licensed or copyrighted characters. It is not the intention of Once Upon a Time Parties D.C. to violate any copyright laws. Our characters are based on fairytales in the public domain. We only accept bookings from clients who understand we do not offer any licensed characters.
